Specifying Commercial Boilers and Hydronic Systems: What Contractors Should Ask Their Supplier

A commercial boiler specification that looks complete on paper can still produce a system that underperforms, requires premature service, or fails to comply with local codes if the right questions were not asked before equipment was selected and ordered. The relationship between a mechanical contractor and a boiler and hydronic equipment supplier is not simply transactional. On a well-managed project, the supplier’s technical knowledge supplements the contractor’s installation expertise, and the conversation between them during the specification and design phase is where a significant proportion of future service calls and performance problems are either prevented or created.

The code and standard baseline

The first conversation with any boiler supplier should establish the applicable code and standard framework for the project. In Canada, ASME Boiler and Pressure Vessel Code sets the fabrication and inspection standards for boilers and pressure vessels. Provincial jurisdictions have their own regulations governing installation, inspection, and the licensing requirements for the trades performing the work. In British Columbia, the Technical Safety BC framework applies.

A supplier who understands the specific provincial code requirements for the project jurisdiction, the CSA certification requirements for gas-fired equipment, and the ASME standards applicable to the boiler category being specified is a supplier whose equipment recommendations can be trusted to be compliant. A supplier who provides equipment without confirming these details transfers the compliance risk to the contractor.

The right questions about system sizing and design

Undersized boilers are obvious failures: they cannot meet the heating demand. Oversized boilers are the more common and less obvious problem. An oversized boiler short-cycles, running in brief frequent bursts rather than completing full combustion cycles. Short-cycling reduces combustion efficiency, increases wear on combustion components, and can reduce the effective lifespan of the boiler substantially. It is among the leading causes of premature boiler failure in commercial applications.

Ask the supplier to walk through the heat load calculation and the sizing basis for the equipment they are recommending. Condensing boilers, which extract additional heat from flue gases and achieve thermal efficiencies above 90 percent, have different minimum flow and return temperature requirements than non-condensing boilers. A condensing boiler operated at high return water temperatures because the system design was not calibrated for it will not operate in condensing mode and will perform no better than a standard efficiency unit at a higher purchase price.

What to confirm about venting requirements

Venting is one of the most frequently underspecified elements of commercial boiler installations, and mismatched venting is a significant source of installation rework costs. High-efficiency condensing boilers produce acidic condensate in the flue gas that requires special venting materials rated for that application. Standard double-wall metallic venting used for non-condensing boilers will fail quickly when used with condensing equipment.

Ask the supplier whether the boilers under consideration have internal heat exchangers that require minimum flow rates to prevent thermal shock, and if so, what primary-secondary piping arrangement is needed to decouple the boiler circuit from the system circuit. This is particularly relevant in systems with multiple zones or variable-speed distribution.

If the project involves integration with an existing system, ask the supplier to review the existing system characteristics before finalising the boiler specification. New high-efficiency condensing boilers added to an older system designed around higher water temperatures and larger distribution components may require adjustments to the system before the condensing benefits are fully realised.

Aftermarket parts and service support

The commissioning day is not the end of the supplier relationship on a well-specified project. Ask the supplier about parts availability for the equipment being specified, particularly for boilers with proprietary controls or combustion management systems. A boiler that requires parts from an overseas manufacturer with four-to-six week lead times creates service exposure that a facility manager will trace back to the specification stage.

Suppliers who stock the aftermarket consumables for the equipment they sell, including burner components, heat exchanger parts, controls and ignition systems, provide a meaningfully different level of ongoing support than those who serve a purely order-and-ship function.

The 2025 federal efficiency standard

Federal regulations in Canada now require a minimum thermal efficiency of 90 percent for commercial boilers above a certain capacity threshold. Contractors specifying equipment for new construction or major replacements should confirm with their supplier that the equipment under consideration meets the current federal efficiency requirements for the project’s specific equipment category. Equipment that was code-compliant two years ago may not meet current standards, and the supplier should be able to confirm compliance without requiring the contractor to independently verify against the regulatory schedule.
